JOB SUMMARY
The Administrative Assistant to Human Resources provides administrative and secretarial support to the Director of Human Resources and the HR department. This position requires handling highly confidential information related to personnel matters, recruitment processes, and employee relations while maintaining the highest level of discretion and professionalism. The Assistant plays a vital role in supporting HR operations that directly impact the division's workforce and organizational effectiveness.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide administrative support to the Director of Human Resources and HR department staff
- Maintain complete confidentiality of all personnel records, employment matters, and sensitive HR information
- Maintain accessible filing systems for personnel records in compliance with federal and state regulations
- Process and track various HR forms, applications, and documentation
- Assist with recruitment processes
- Support the application review process and maintain accurate records of candidates and hiring decisions
- Coordinate reference checks and background screening processes
- Assist with new employee onboarding processes and documentation
- Help maintain personnel files and ensure compliance with record-keeping requirements
- Compile and organize data from various sources for HR reports
- Assist in preparing statistical reports related to staffing, recruitment, and personnel matters
- Maintain accurate databases and records related to employee information and HR operations
- Communicate effectively with diverse audiences including employees, administrators, school board members, and community members
- Maintain professional and courteous interactions while protecting confidential information
- Assist with special HR programs including workers' compensation, sick leave bank, and employee recognition initiatives
- Assist with contract management and personnel documentation processes
QUALIFICATIONS
Education and Experience:
- High school diploma or equivalent required
- Post-secondary education in business administration, human resources, or related field preferred
- Minimum of 2-3 years of administrative experience, preferably in human resources or educational setting
- Experience with confidential record-keeping and personnel matters preferred
Knowledge, Skills, and Abilities:
- Thorough understanding of confidentiality requirements and ability to handle sensitive information with discretion
- Strong organizational skills and ability to manage multiple priorities effectively
- Excellent written and verbal communication skills
- Proficiency with technology including office software, database management
- Knowledge of basic employment law and HR practices preferred
- Strong attention to detail and accuracy in record-keeping
- Ability to work independently with minimal supervision
- Professional demeanor and strong interpersonal skills
- Problem-solving abilities and resourcefulness in time-sensitive situations
- Ability to remain calm under pressure and adapt to changing priorities
WORKING CONDITIONS
- Duties are typically performed in an office setting with occasional visits to school buildings
- Regular sitting, standing, and walking throughout the workday
- Frequent use of computer, telephone, and standard office equipment
- Occasional lifting and moving of materials up to 25 pounds
- Fine motor skills required for data entry and document handling

EVALUATION
Performance will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
COMPENSATION
Salary is commensurate with experience and according to school board policy.
